Assess, build, embed

Each step earns the next. You start where it makes sense, and nothing further is bought until the value is clear.

Constituent backlogs and records requests absorb staff time an agency does not have, and an automated decision nobody can explain costs public trust on top of the hours. We deploy the version that answers both.

The pressure

The backlog costs staff hours. A black box costs the standing to keep working.

Constituent correspondence, records requests, and case intake absorb capacity that headcount rarely arrives to cover. That is the case for automating some of it. The constraint is that agencies operate under records laws, procurement rules, security requirements, and constant public scrutiny, so a system that acts with no clear, reviewable record turns into a public-records problem, an oversight hearing, and a trust problem that outlives the efficiency gain. The promise of AI here is real only if every decision can be explained and defended.

What the rules require

What public accountability requires.

  • A system that has not cleared procurement rules and an authorization to operate cannot touch real data, so that timeline belongs in the plan rather than in the surprise column.
  • Automated decisions and the data behind them can become part of the public record, which means a records request is a normal event to design for, not an emergency.
  • Where data is stored and processed is a requirement, not a preference, and residency found to be wrong after the fact is a rebuild rather than a fix.
  • Public-facing systems have to meet accessibility standards such as Section 508 and WCAG, and retrofitting accessibility costs several times what building it in does.
  • Retention schedules apply, and every action needs to be reconstructable, because the request that cannot be answered is the one that becomes the story.

Where it goes wrong

What each of these costs an agency.

The black-box decision
An automated determination no one can explain when a constituent or an auditor asks. The program pauses while somebody works out how it decided.
Residency drift
Data processed somewhere the agency rules do not allow, discovered after the fact. Unwinding that costs more than doing it correctly would have.
The unproducible record
An interaction a records request asks for that the system cannot reconstruct, which turns a routine response into a public problem.

What we bring

You get the throughput and the record at the same time.

The judgment is the same one that governs the build: decide what is safe to automate, keep a person on the decisions that matter, and capture the record as the system runs rather than afterwards. It comes from a career in regulated, audit-heavy enterprise IT, where access control, oversight, and evidence are the work rather than an afterthought.

A governed workflow

A governed workflow: clearing constituent requests without losing the record.

Take a common target, routing and drafting responses to constituent requests, and the queue it never quite gets ahead of.

By hand, then governed

The work does not change. What changes is who does the routine part, where a person is still required, and whether anyone can show what happened afterwards.
  1. The agent operates inside approved residency and access boundaries, not a general cloud default.

    Human approval
  2. Drafts route to a staff member for approval before anything reaches a constituent.

  3. Every step is logged so the interaction can be produced under a records request.

  4. Retention is applied automatically, matching the agency schedule.

How the governed build fits

Faster queues, explainable decisions, nothing to reconstruct.

Every action can be explained and produced on request, because we run AI agents with permissioning, human-in-the-loop approval, and continuous audit logging. Staff spend their hours on the cases that need judgment instead of on the routing that never did.

How a governed agent runs

The gate is the part that matters. Routine work keeps moving; anything with consequences waits for a person, and either way the record is already written.
